We have an exciting opportunity for a full time (35 hours per week) Executive Assistant to provide secretarial support to the President/CEO and Senior Leadership team. These services include a receptionist role for the administrative suite, preparing Board of Directors correspondence, meeting preparation and performing a variety of clerical duties as requested including forms, letters and spreadsheets.
The Executive Assistant performs a variety of executive support tasks that may be highly confidential and sensitive in nature. Responsibilities include receiving incoming calls/visitors and alerts Senior Leaders accordingly; composing forms, letters, memoranda and flyers; running routine and ad hoc reports in Carelogic; producing a variety of documents, charts, and graphs in final form; review, proof read and edits documents prepared for administrator’s signature; maintaining central files including organizing and tracking contracts and attestation files to ensure files are kept current; tracking of leases and notifying responsible party of expiration dates; performing related work as assigned.
Associates degree preferred; three years of related experience is required.
Maturity and flexibility to work closely with Senior Leaders, staff members, clients, and guests; commitment to the values and standards of the Agency’s programs and services is required. The Executive Assistant is responsible to create/organize and maintain all systems and project a professional image and maintain confidentiality. Demonstrated proficiency in Microsoft WORD and Excel is also required; an Excel and WORD assessment test will be administered.
The hours are Monday through Friday 9:00 a.m. - 5:00 p.m. (35 hours per week).
