Family Service Association is seeking a full time Administrative Services Supervisor to join our team. The position is 40 hours per week with a Monday through Friday from 8am to 5pm schedule, and is budgeted to start between $60,320 & $62,400 annually.
The Admin Services Supervisor provides and coordinates office services needed to operate an efficient office. Administering such personnel functions as employment, supervision, job evaluations, guidance and direction as well as interpretation of Agency policy to clerical staff staff. Recommends and executes approved changes in office, billing and intake procedures. Services include acting as receptionist for administrative suite, Board of Directors correspondence, meeting preparation and assisting with agency events.
Duties and Responsibilities:
- Perform a variety of executive support tasks that may be highly confidential and sensitive, including scheduling Board meetings, planning meeting logistics and taking meeting minutes.
- Assist and coordinates additional meetings which include the general staff meeting, leadership meeting and annual meeting.
- Plan work schedules and determine priorities for clerical staff staff. Assign work assignments to appropriate clerical personnel; balance workload. Provide day-to-day guidance to clerical staff.
- Provide back up for desk and phone coverage.
- Run a variety of reports for the BHC
- Establish check in routines for BHC clients and systems to improve scheduling and communication with new and current clients in regards to appointments and client balances.
- Meet with clients as needed to set up payment arrangements if necessary, keep clinicians informed of patients with high balances. Review patient balances on a monthly basis.
- Provide orientation, training and supervision to clerical staff. Conduct regularly scheduled clerical staff meetings.
- Make recommendations for and introduce new office systems and services, or scope of present services to promote optimum efficiency.
- Maintain upkeep and direct repairs on all general office equipment. Recommend and arrange for systematic replacement; keep abreast on all new laborsaving office equipment.
- Attend clinical admin and clinical staff meetings (monthly)
- Ability to work independently while directing others toward specific results.
- Coordinate credit card purchases, ensuring the accuracy of order and accuracy of delivery.
- Ordering of general and office supplies.
Education and Experience:
- Must have excellent organizational skills as well as effective written and verbal communication skills.
- Associates degree preferred.
- High School diploma and at least 5 years of related experience required.
- Maturity and flexibility to work closely with Senior Leaders, staff members, clients and guests.
- Commitment to the values and standards if the Agency’s programs and services.
- Ability to create/organize and maintain all systems.
- Project a professional image and maintain confidentiality.
- Proven proficiency in the Microsoft Office package.
